Check Out Printable Quick Reference Cards (QRCs):

The checkout phase of a physical event can be hectic for your auction staff and frustrating for your winning bidders. The Bidsheet Plus™ or higher level packages address this issue, helping to streamline check out and speed your guests through the line.

If you've purchased Mobile Plus™ or Mobile Pro™

When using one of our online bidding packages, check out is handled mostly by your guests and bidders.

  1. When bidding ends, bidders receive notification that they have won via email and text.
  2. Winners receive a text and email. The email contains information you inserted into the Create Winners' Email field found on the My Group's Info page. Access this page from the Communication Tools menu.
We suggest your letter includes something like this: On your phone, please navigate to your Silent Auction Pro home page and click the green Pay button (shopping cart icon). Process your invoice with the card you have stored on file, or use a new credit card if you choose. Once you have completed your payment, leave your receipt page open to pick up your items.
  3. Winners and bidders who wish to donate money can complete their own check out by navigating to the green Pay button on their Member Home page. They can choose to pay with the card on file, or they can update with a new credit card.
What to accomplish during check out when not using online bidding

These steps are needed for events that are not using online bidding OR have guests that want to pay with cash or check. Check Out Tools are located under the Check In & Check Out menu item.

  1. Process invoices and collect payments for winning bids. (See Managing Payments and Issuing Refunds.)
  2. Deliver auction items to winning bidders. Print paid invoices [Check In & Check Out > Check Out Tools] or direct bidders to show the receipt they received via email after check out, as proof of payment during pick up.
  3. Resolve any issues, such as a dispute about who won an item. (See Resolving Issues During Check-out.)
