Enter and announcing results best practices
- Enter bids carefully, checking whether items were bought using the Buy It Now option. This is the most common source of data entry problems.
- After a section closes, ask bidders to wait the 5–10 minutes it takes to enter the data into the software before they start asking if they have won anything.
- Notify winners using the menu option, distribute the section results on sheets or project the winning bids on a screen by using the
Display All Results feature.
- Make several announcements to let bidders know how they can find out if they have won anything.
- Bid results can be entered any time during the auction when a bid sheet is closed. Bid sheets are closed as a result of a section closing or a bidder
having exercised the Buy It Now option.
- After each section closes, table monitors should immediately pick up all bid sheets and deliver them to the auction assistants at the check-in/check-out
area for entering the bid results. Sold items should be secured as a precaution against theft.
- The only limit to the number of auction assistants that can access the software to enter bid results is the number of computers on hand.
The more computers, the faster the bid sheets can be processed.
To enter or edit a bid result
- Click the menu and choose the option.
- In the Auction Item number box, type the auction item ID number that appears on the bid sheet. Do not enter the "A".
- Hit <TAB> or use your mouse to click on the Bidder Number box.
- If you have entered a valid auction item number, the auction item title appears in the Reference Information area. Before continuing, compare the title to the bid
sheet to verify that you are entering the correct auction item.
- If the bid result was already entered, the Bidder Number and Final Bid Amount fields automatically display the previously entered values. You can modify these values, if necessary,
and click the Enter Bid button to update the winning bid information.
- If the auction item type is set to Fixed Price Item(s), the Final Bid Amount field automatically displays the pre-determined price.
- Enter the winning bidder's ID number in the Bidder Number box and hit <TAB>. If you have entered an invalid Bidder Number, the system issues an alert.1
- Enter the final bid amount from the bid sheet, making sure to see whether the item was purchased using the Buy It Now option.
- If the item was purchased by Buy It Now, select the Bought by Buy It Now checkbox to automatically fill in the purchase amount.
- If the item was not purchased by Buy It Now, enter the final bid amount in the Final Bid Amount box.
- Verify all information in the form against the bid sheet.2
- Click the button to save the information to the database.
As a final confirmation that the item was successfully entered, the last saved item is displayed at the top of the Enter Bid Results form until you click and return to the AuctionDay page.
After bid entry, file each bid sheet in a folder marked with the winning bidder's number. This way you have a back-up system and an easy way to find bid sheets should a dispute arise about who won an item.
Entering cash pledges / fund-a-need results
When doing a paddle raise, fund-a-need, or live ask, have spotters record the results on a printed tracking sheet. Next, enter those results on the Cash Pledges page to quickly add donations
to guest invoices.
- Click the menu and choose the menu option.
- Click the button.
- The Fund-a-Need Monitor page displays. Enter the donor's bidder number or name in the Donor Bidder Number field.
- Enter the donor's pledge amount in the Pledge Amount field.
- Click the Enter Pledge button to record the Fund-a-Need cash pledge, and add that amount to the donor/bidder invoice.
