Reconciling Online Ticket Sales and Bidding Requests
Persons purchasing tickets online or requesting access to online bidding for a group must have an account with Silent Auction Pro™.
To ensure that a group's contacts are current, and that the proper association is made between the user's Silent Auction Pro account and
the group's contact table, auction assistants or administrators may need to manually reconcile online purchasers and bidders to the group's contact database.
This is accomplished via the Reconcile Online Ticket Purchases link on the AuctionDay™ page or any page
that contains a message saying that you have unreconciled ticket purchases. This process is required only once for each person purchasing
tickets or bidding online; the associative information is stored in the group's database for current and future events.
Silent Auction Pro will automatically reconcile online ticket requests or online bidding requests if it is possible. Auto-reconcile
is possible if there are no other contacts in the system with the purchaser's last name, OR, if there is a 100% match between the purchaser's first
name, last name and email address with a contact record already in your contacts database.
To reconcile online ticket purchasers and online bidding requests
- From any page that displays a warning dialog that you have unreconciled ticket purchases or online bidding
requests, click the Click here to reconcile these requests link.
- On the Reconcile Ticket Purchases page, the top Potential Matches table is initially empty; the bottom table
lists the unreconciled ticket holders by last name.
- Select the radio button next to an unreconciled ticket holder to automatically search the contacts database.
If any contacts match the last name, email, address, or phone of the unreconciled contact, the list of potential matches appears in the top
table and the matched fields are highlighted in yellow.
- If matches are found, select the radio button next to the contact and click Accept Match.
This forms an association between the ticket holder (or online bidder) and the contact.
Silent Auction Pro will warn you if the contact you have selected has already been reconciled with another user record.
If you receive this warning, make absolutely sure that the contact and user are the same person and not someone with a similar name. It is
not possible to "unreconcile" a contact.
- If no matches are found, or if none of the potential matches are the correct person, click the
None match - Add Contact Selected Below button to add the ticket holder as a new contact
in your group's contact database.
- If you do not wish to reconcile the person and permanently skip that person, click the
Skip Reconcile button. This will release that ticket so that it may be used by another person.
- Repeat this procedure until all the unreconciled ticket holders and online bidders are reconciled.
